School Annual Function

Annual function is a part of school curriculum. In schools the most awaited function.

Why?

Because this is the only function every one us in our school goes back to school days.

It is a consolidated expression of our strength of the school in the form of fluency of actions.

It is an exhibition to invite the next generation to join our school.

It is a talented show. We cannot say as Talent show.

It is an event which includes all kinds of necessary life skills such as leadership, organising a function, invitation, guests, honour, dance, art, design, theme making, making impressions, dress up, games, victory, belongingness, participation......

PREPARATION  for school Annual function

For an effective display of our annual function, we should pay attention much on the following:

1. The plan
2. The Budget
3. The Theme
4. The Guest
5. Rehearsal for Time Management.

1. The Plan

Following are some necessary preparations to host a successful annual day event.

1. The preparations for the main event should begin much ahead of time.

2. All the key people, including the principal, teachers, staff members and student’s representatives must form a committee to discuss the various matters regarding the event.

3. Invitations should be sent in time to the expected chief guest and other important invitees so that they can make arrangements in their schedules to attend the event.

4. Rehearsals for the entertainment programs such as singing, dancing, dramas, etc. to be performed by the students and teachers must be started weeks before the event.

5. It is important to clean the entire school, every classroom and the school campus.

5. Benches should be arranged neatly and the pin-boards, charts and calendars on the walls should be cleaned and updated.

6. Decorations such as balloons, flowers, banners, colorful lightings, etc. can be made to make the venue look pleasing and attractive to everyone.

7. As students are the school ambassadors, they should be given the chance to read the welcome address and The Annual report of the school. The same copy can be made in multiple copies and given to all the visitors attending the function.

Therefore we should concentrate very much on presentations. Please.

2. The Budget

In some schools special fees is being collected from the children or include in annual fees.

Some schools are getting sponsorship or spending from their school funds.

3. The Theme

Choose the theme from the UN SDG, clean India, Safety- measures, Right for Education, Women empowerment, Environment protection, Save water........

4. The Guest

Choose the guest for school program related to the theme selected. A cine artist may not be aware of the importance of the theme of our program.

5. The Rehearsal

The rehearsal is the most important aspect of the program for time management. It should be short and sweet.

Specially the order of the event, as an example:

• As the Chief Guest arrives, the school-band springs into tune.

• He is escorted by a reception-committee, including the members from the Managing Committee, the principal, teachers and students.

• To start with, the principal delivers a speech, in which he first welcomes the Chief Guest and then details the highlights of the school-results in the Board’s Examinations and the awards that the students have won in various activities.

• The Chief Guest is requested to deliver his speech.

• It is followed by a speech from the Head-Boy, who thanks the teachers for their affectionate guidance and teaching, provided by them.

• He also expresses gratitude to the Chief Guest for accepting their invitation and for all the compliments/ he has conferred on the school.

• Finally, the Chief Guest is requested to give away the prizes to the students.

• The prize- giving-ceremony is also an interesting event to behold. Each time the name of a prize – winner is called out, the band strikes inarching tune and the student marches up to receive the prize and thanks the Chief Guest.

• The cultural programme begins after the prizes have been awarded.

• Songs are sung by the students, the dance and drama items are presented and one sees the hard work, the students have put in during the rehearsals, reaching its culmination.

• The function ends with the manager of the school giving a vote of thanks to the Chief Guest and the parents for sparing their valuable time to be in the school.

• The last to come is the National Anthem, at the tune of which, all those who are present stand in attention.

• Then there is a controlled movement towards the exit. Parents wait outside for their children.

• Those who have won prizes and those who have performed on the stage are lovingly received by their parents.

• Finally, everybody goes home, bidding adieu to each other.
